CVIC 2024 Election Information
Dear Members of CVIC
Assalamu Alaikum,
Elections for the CVIC executive council will be held on Saturday 7th of December 2024 at 2PM to 5:00 PM. This document provides details of the election process as guided by the CVIC constitution and bylaws.
We encourage members to attend the election in person, however members can
request the option of online absentee voting as detailed below.
Election committee
The executive committee has assigned the following members as the election committee for the 2024 election. Please note that the Members of the Election Committee shall not be eligible for nomination to the Executive Council.

Executive Council Positions
All positions on the Executive Council are up for election. These include
- President
- Vice President
- Secretary
- Director of Social Affairs
- Director of Finance
- Director of Facilities
- Director of Women's Affairs
- Director of Education
- Director of Communications
- Director of Community Welfare
- Director of Youth and Students
Each member of the Executive Council shall be elected to serve a term of two years.
Election Timeline
- October 28: First day for submitting nominations,
- November 11 (midnight): Last day for submitting nominations
- November 12 to 14: Election committee will contact nominees to ascertain their willingness to be on the ballot.
- November 15; Final ballot and slate of candidates to be announced to members
- November 15: First day to request online absentee voting
- November 22 First meet and greet, 7PM to 8PM at CVIC, in person encouraged, zoom will be available
- November 29 Second meet and greet, 7PM to 8PM at CVIC, in person encouraged, zoom will be available
- December 5; Last day to request online absentee voting
- December 6 (midnight): Deadline for submitting online absentee voting ballot
- December 7: Elections will be held in person at CVIC
Membership requirement
- Only members of CVIC, who have paid membership dues are eligible to vote in this years election.
- Resolution passed by EC and by BOT:
- CVIC 2024 Election Membership list ONE TIME WAIVER : CVIC shall allow Active Members from 2022 and 2023 who have not updated their membership by paying 2024 dues, to help able to do by paying dues, and be given 2 weeks from Oct 28 on to do so. (By 11/11/2024). Thereafter those updated membership holders shall be allowed to vote. Those who opt not to pay dues shall not be allowed to vote.
- Waiver does not extend to standing for a position, nominating, and does not apply to new individuals not previously having held membership in 2022 or 2023
- With family memberships, each spouse will have the opportunity to vote individually.
- Family members above the age of 16 are required to be individual members of CVIC to participate in the elections process.
- Family members below the age of 16 are not eligible to vote.

Please enter your email address in the website above. The date of your last payment will be displayed. The date must be between 1/1/24 and 11/11/24 to be eligible to vote
Eligibility to contest for a position
- Those who have been a member for at least 1 year are eligible to be nominated and contest the election.
Nominations process
- The nomination process will be conducted electronically.
- An email will be sent to CVIC members on October 28, and a link to the CVIC website.

- At the website, (see screen shot below) members will have to submit their names.
- Members will then see a list of open positions, and enter their nomination.
- A member can nominate only one person for each open position; however, the member cannot nominate the same person for more than one position.
- Last date for submitting nominations is November 11 midnight
CVIC members who prefer to do the nominating process on paper will need to contact a member of the election committee and set up a time to meet in person prior to the deadline of submitting nominations (November 11). A paper list of members and list of open positions will be provided; the member can complete and return their nomination to the election committee.
Verification of nominations and finalizing ballot.
- Only CVIC members can do the nominations; nominators will be verified by the election committee to be CVIC members
- Only those who have been members for at least 1 year will be eligible to contest the election, the nominating committee will verify the status of nominated members
- Starting November 11, election committee will reach out to the members that have been nominated; the nominee will have the choice to accept or decline the nomination within 3 days of initial notification by the election committee.
- If the member has been nominated for multiple executive council positions, they can accept the nomination for only one position.
- After all nominees have been contacted, and have indicated their acceptance/decline of the nomination, a list of nominees that have accepted the nomination will be on the final ballot,
- The final slate of candidates that are on the ballot will be provided to the members on November 15.
Online absentee voting
- Request for online absentee voting will start on November 15.
- Any member requesting absentee ballots should do so via e-mail or text to a member of the election committee. Requesting members need to provide their email address; a link to the voting website will be sent by email, and the member can vote online.
- Each voting member needs to submit a separate request for online absentee voting; for example, a husband and wife will each need to separately request online absentee voting.
- The dead line for request for online absentee voting is December 5.
- The deadline for submitting online absentee voting is December 6 at midnight. The voting site will be closed, and no further votes will be accepted after that time.
In Person elections
- Elections will be conducted in person at the CVIC building from 2PM to 5PM on Saturday 12/7/2024.
- Paper ballots, and instructions to the members in completing the ballot will be provided.
- After completion of the election at 5:00 PM, members of the election committee will count the votes (both in person and absentee votes) in a confidential fashion.
- All members of the Election Committee will sign off on the final result, and the chair shall announce the results immediately after the count.
- Tally totals can be shared with any nominee at their request, after the election is completed.
- According to the CVIC bylaws, any dispute relating to elections shall be raised at the meeting at which the elections are held and shall be addressed immediately at such meeting by the Chairman of the Election Committee, whose decision in the matter shall be final and binding.
