2024 Board Elections and approval of revised bylaws

In Sha Allah we will be holding an Election for four Board positions (see descriptions below) and voting on the approval of revised bylaws for the Eastern Twin Cities Islamic Center (ETCIC) in the coming weeks.  

There are four seats (2 Year Positions) up for election this year:

Operations Coordinator/Vice President
Social Coordinator
Education Coordinator
Religious Affairs Coordinator

Eligibility to vote/run for Office
You must be an ETCIC Member for the past 12 months to run for office.
You must be an ETCIC Member for the past 6 months to vote.
Members will be notified (by email) regarding their eligibility to vote in this years election. The purpose of this notification is to ensure that members are aware of their eligibility to vote in the 2024 online election.
If you do not receive any communication, please contact [email protected] regarding your membership status.
You must be 18 years or older to vote and 21 or older to run for office.
Two members of a family cannot serve on the Board concurrently. Therefore, spouses and children of current Board members who will continue to serve, are not eligible to run for office.
Two members of the same family can be nominated, but only one will be eligible to run. They will have to decide among themselves as to who will finally accept a nomination and run for office.

Election Process
You will receive a ballot at your email address, and you will only be allowed to vote within a certain period.
No proxy or absentee voting will be allowed.
The revised bylaws will be provided to members for their review and approval as part of the voting process.
The online voting poll will start sometime in the coming weeks and last for approximately 2 weeks. The final dates will be announced soon.
For the very few individuals who don't have an email address, we will be holding In-Person voting to be held at the ETCIC - final dates will be announced in the coming weeks. 

Nomination Process
Nominations should be sent to the Election email address at [email protected]
Include the full name of the nominee as well as their email address and phone number (if known).
Nominate yourself or any number of people for any number of positions.
Each nominee can only run for one position, irrespective of how many positions they have been nominated for.
Please participate in the Election process by nominating individuals to run for these positions.
 

THE NOMINATION PERIOD STARTS NOW AND WILL END TUESDAY, SEPTEMBER 3 AT 5 PM

Election Committee
The 2024 Election Committee comprises the following community members Br Sharf Uddin Ahmed (Chair), Sr Farah AbuQalbeen, Br Adnan Adou, Br Hussein Farah, Sr Nasimah Mayat and Br Khalique Wajidi.
They will oversee the overall running of the Election and ensure the integrity of the Election process.
The Committee will provide a weekly update to the community with the names of those who have accepted nominations and for which positions, so that the community is well informed about uncontested positions, well in advance of the close of the nominations date. This, we believe, will allow time for more nominations.
No nominations will be accepted past the deadline, unless the deadline is extended by the Election Committee with proper notification 
Once a nomination is received, the committee will inquire if the nominee is eligible to run, and if so, will notify the nominee and inquire if that person will accept the nomination.
If a nomination is accepted, the nominee will submit a headshot and prepare a short, written statement (250 words or less) about how they can add value to the ETCIC as a Board member. These statements will be sent to voters. All nominee statements should be sent to [email protected]

Position Descriptions
1. Operations Coordinator/Vice President (2 year term)
The Operations Coordinator and Vice President shall be responsible for maintenance and operations of ETCICs facilities.
The Operations Coordinator and Vice President shall be responsible for creating specific programs not assigned or falling under any of the other coordinators responsibilities and volunteer recruitment and retention.
The Operations Coordinator and Vice President shall also assist the President in running ETCIC and shall also act as the interim President in the absence, resignation, disability of the President or for any other reason due to which ETCIC may not have an elected President and shall continue until the President of ETCTC returns or a new President for ETCIC is elected.

2. Social Coordinator (2 year term)
The Social Coordinator shall be responsible for organizing all social activities of ETCIC. These events shall include all family social activities, picnics, etc.
Additionally the Social Coordinator shall have the oversight and guidance responsibility for youth group activities and shall be the liaison between the youth groups and the Board of Directors.
The Social Coordinator shall also be responsible for establishing and maintaining social services.

3. Educational Coordinator (2 year term)
The Education Coordinator shall be responsible for all the educational activities of ETCIC including classes for the children and periodic adult educational classes.
The Education Coordinator shall additionally be responsible for setting curriculums for these classes, recruiting volunteer teachers, setting up and maintaining classroom environment and collecting fees in coordination with the Treasurer.

4. Religious Affairs Coordinator (2 year term)
The Religious Affairs Coordinator shall be responsible for managing all religious activities of ETCIC including Halaqas, Taraweeh, Jumah and Eid prayers and interfaith activities.
The Religious Affairs Coordinator shall also work with the Education Coordinator in organizing special lectures and seminars.
The Religious Affairs Coordinator shall also be responsible for addressing community questions and issues pertaining to religious matters and opinions.
The Religious Affairs Coordinator shall also be responsible for disbursements of Zakat funds as decided by the Board of Directors based on Islamic Jurisprudence.
